Pipedrive’s billing system: a special kind of madness

Imagine running a growing business where you're adding new team members regularly.

Now imagine your CRM provider has decided that every time you want to add a new user, they'll block key account management features for 5 business days.

Welcome to my personal hell with Pipedrive.

The problem

We use Pipedrive for our sales CRM. We're growing. We add new people regularly. And every time we do, Pipedrive blocks user management functionality for 5 working days.

Not just the new user. They specifically block user management functionality.

This means:

  • Can't add other users

  • Can't upgrade or downgrade user plans

  • Can't modify subscription details

For five. whole. days. Absolutely bananas.

Credit card? SEPA Direct Debit? Same problem

Initially we used a credit card. Sometimes payments failed (as they do). So we switched to SEPA Direct Debit, thinking this would be more reliable.

Plot twist: it got worse.

With SEPA, Pipedrive still blocks user management functionality during processing. Their excuse? "SEPA takes 5 days to process".

Yes, SEPA takes time to process. That's normal. But blocking account features during processing? That's a Pipedrive special.

Asking for support…

Pipedrive’s support's responses read like they were generated by a particularly dense AI:

“We have to follow SEPA's processing guidelines”

No, you don't. SEPA doesn't require locking user accounts. That's your policy.

“I'd recommend exploring alternative payment methods”

Translation: “We refuse to fix our broken system, so try something else that's also broken”.

When I explained how a customer-friendly system would work, I got more circular responses.

What normal companies do

Any reasonable SaaS company handles billing like this:

  1. Customer wants to add users

  2. Check if the account is in good standing

  3. If yes, add users immediately

  4. Process payment in the background

Instead, Pipedrive does:

  1. Customer wants to add users

  2. BLOCK USER MANAGEMENT FOR 5 DAYS

  3. Maybe process payment

  4. Eventually unfreeze the account

  5. Repeat this nightmare with every change

The real impact

We're literally forced to only onboard new salespeople once per week instead of daily.

“Hey new hire! Super excited to have you join. Unfortunately you can't use our CRM for a week because Pipedrive thinks we might be planning a daring escape without paying our €49 additional user fee”.

I tried everything

  • Talked to support reps

  • Escalated to management

  • Emailed them

  • Pleaded with them

  • Explained the problem in excruciating detail

The response is always the same: “Have you tried a different payment method?”

What's especially maddening

This would be trivially easy for them to fix. Allow immediate access to features for accounts with a good payment history. That's it.

But they won't.

The punchline

We're still using Pipedrive because migrating CRMs is a massive pain. We've gone back to credit cards as the lesser evil.

But I find myself in the bizarre position of being afraid to grow my company because I know it'll trigger another Pipedrive lockdown.

When your SaaS tools punish you for success, something has gone terribly wrong.


P.S. Pipedrive, if you're reading this: Fix your billing system. It's embarrassing. I'd love to remove this post and rave about how you listened to customer feedback instead.
