Like the internet, email has evolved with advancing technology. Every day, email is changing. So, how you approach writing emails and sending newsletters needs to adapt as well. From AI summaries to spam and phishing issues, today’s email inboxes are totally different than they have been in the past.

Email is more connected and integrated than it’s ever been. Smaller email players are stopping email services. Major players, such as Google or Outlook, offer extensive suites, AI assistance, and cloud services. These suites enable much more versatile integration of projects into emails and day-to-day communication. Knowing how to utilize these resources can be a game changer.

Basic Tips for Using Email:

  • When writing emails, use kind language and clear writing. It’s very easy for tone of voice and messages to be lost within an email.

  • Include a strong subject line. A strong subject line helps people decide whether an email is worth clicking.

  • Try an easy-to-read structure. Breaking your email into small paragraphs, simplified sentences, and bullet points helps.

  • Use the correct documents for attachments. Make it easier on your readers by sending PDFs, PNGs, or JPEGs, as these formats can be easily viewed on most computers.

  • Do not copy attachments into an email. Attach them or use cloud options. Copying/Pasting attachments like images appears clunky on the receiver’s side, and they are not always downloadable or viewable.

  • Check your spam folder regularly, and make sure your email is set up to filter spam. Don’t let spam fill your inbox, but don’t accidentally ignore important emails either. Don’t hesitate to block senders.

  • Be careful of suspicious (phishing) emails. If an email is urgent, unexpected, or suspicious, ALWAYS check to ensure it is legitimate. DO NOT click on any suspicious links or attachments. ALWAYS report phishing attempts.

  • Use an Email Service like Constant Contact to send regular bulk emails to customers. Most businesses do not stay in contact with clients. You have a good list—put it to use by sending high-quality information.

Email in Marketing. Email as a marketing tool has also evolved, with newsletters and basic email advertising needing to adapt for success. Because of AI/email summaries, it is more important than ever to have personalized, human content. At the same time, your newsletter must be concise, clear, and provide value to your customers.

Good Practices for Email Marketing:

  • Make sure your subject line is strong and can stand alone.

  • Track your deliverability to see if the newsletter is being sent.

  • Check if you’re getting a healthy amount of opens and clicks.

  • Make sure you have a strong call-to-action.

  • Use that human touch when writing. It’s tempting to rely entirely on AI for newsletters, but people connect better with a human voice.

  • Try to cater to what your audience needs. If you have information about what your audience is interested in, use it.

  • Look at the best times to send and automate newsletters to go out at that time.

  • Use relevant images with alternative text.
