1. Nail the Subject Line:
Your subject line is the first thing your recipient sees. Make it count!

  • Be Clear and Concise: Skip the jargon and get to the point.

  • Use Action Words: Words like "Update," "Reminder," or "Invitation" create a sense of urgency.

  • Personalize When Possible: Adding a personal touch can increase open rates. For example, “Hey Seun, Check Out This New Design Tool!

2. Perfect Your Opening:

First impressions matter. Start strong.

  • Greet Warmly: A friendly "Hi [Name]," goes a long way.

  • Set the Tone: Match your tone to the recipient’s style. Formal for corporate, casual for creative.

  • Context is Key: Briefly remind them who you are if it’s been a while since you last connected.

3. Get to the Point:

Respect their time. Keep it succinct.

  • Be Direct: State your purpose in the first few sentences.

  • Structure Your Content: Use short paragraphs, bullet points, and headers to make your email scannable.

  • Include a Call to Action: Be clear about what you want them to do next. “Could we schedule a call to discuss?” or “Please review the attached draft.”

4. Add Value

Make your email worth reading.

  • Share Insights: Link to relevant articles, tools, or resources.

  • Offer Help: “I noticed you mentioned needing a UI/UX overhaul. Here are some ideas…”

  • Be Thoughtful: Acknowledge their work or recent accomplishments. “Congrats on the recent campaign launch!”

5. Polish Your Signature:

Your email signature is your digital business card.

  • Keep it Simple: Name, title, company, and contact info are essential.

  • Include Links: Add links to your portfolio, LinkedIn, and other professional sites.

  • Brand It: Use your company logo or personal brand colours.

6. Follow-Up Like a Pro

Persistence pays off, but don’t be a pest.

  • Wait a Few Days: Give them time to respond.

  • Be Polite and Concise: “Just checking in on the email below. Looking forward to your thoughts!”

  • Offer Alternatives: Suggest another time or way to connect if you’re not getting a response.

7. Proofread, Proofread, Proofread

Mistakes can undermine your credibility.

  • Read Aloud: This helps catch awkward phrasing.

  • Use Tools: Grammarly or other editing tools can catch errors you might miss.

  • Double-Check Attachments: Make sure all files are attached before hitting send.

8. Respect Privacy and Time

Be considerate of their inbox and schedule.

  • BCC Wisely: Use BCC to protect email addresses in group messages.

  • Avoid Overloading: Don’t send too many emails; combine information when possible.

  • Be Mindful of Timing: Avoid sending emails late at night or during weekends unless it’s urgent.

Your emails should reflect the same creativity and professionalism that you bring to your work every day. So go ahead, and hit that send button with confidence!
