Stop tidying your computer, start finding your stuff!

Remember those filing cabinets? Big drawers full of carefully labeled folders? When computers came along, we basically copied that idea onto our screens. We make folders, then folders inside folders, trying to keep everything neat and tidy.

But let’s be honest, how often does that really work perfectly?

The folder headache

Moving files from a cloud storage provider to another it is a very “busy” operation. Somehow I want to build a new folder structure to show me a new picture of how I am doing things. Now…

Think about it:

  • You save a cool recipe. Does it go in “Food,” “Recipes,” “Things to Try,” or maybe “Healthy Ideas”? Argh!

  • You take a photo on vacation. Is it under “Vacation 2024,” “Family Photos,” “Beach Pics,” or all three?

  • You jot down a brilliant idea. Which project folder does it belong in right now?

Trying to force everything into one perfect little box takes time and energy. Sometimes things fit in lots of boxes, and sometimes they don’t seem to fit anywhere. And later, when you need that thing, you might completely forget which box you put it in!

There’s an easier way: think like Google!

What do you do when you need info online? You search! You don’t click through a giant “Internet” folder, then “Shopping,” then “Shoes,” then “Blue Shoes.” You just type “blue shoes” and boom, there they are.

Why not do the same with your own stuff?

Instead of worrying about the perfect folder structure, just focus on saving things easily. Put your notes, documents, links, and pictures into a more general place (or just a few broad categories if you must).

The magic of search and simple labels

Your computer is really good at searching. Let it do the work! When you need that recipe, just search your notes or documents for “chocolate cake” or “chicken stir-fry.”

If you want a little extra help, add simple labels or tags when you save something. Like adding #recipe, #idea, #meeting_notes, #vacation, or #important to your notes or file names. Think of them as helpful little clues for your future self and for the search tool.

Why this rocks

  • It’s faster: Less time deciding where things go, more time doing useful stuff.

  • It’s flexible: That one note can be about a #work project and a #personal idea. No problem!

  • It’s less stressful: Stop agonizing over the “right” place. Just save it and know you can find it.

  • You find more: Search can dig things up even if you only remember a keyword, unlike trying to guess which specific folder you used months ago.

So, maybe it’s time to ditch the endless folder-in-folder system. Embrace the power of search on your own computer. Spend less time filing and more time finding (and doing)! Give it a try — you might find your digital life gets a whole lot simpler.
